Control who sees which box

Choose which teammates can see and work in each box.

By default, everyone on your team can see every box in the company. If some feedback should stay with a smaller group — say, an HR box that only two people should read — you can restrict a member to specific boxes. Owners and admins always have access to all boxes.

Set box access when you invite someone

  1. Open Organization Settings and go to the Team tab.
  2. Enter the teammate's email and choose the Member role. (Box access only applies to members — if you pick Admin, the invite is always all-access.)
  3. Under Box access, pick one of two options:
    • All boxes — every box, including ones created later.
    • Specific boxes — only the boxes you check in the list below. You must select at least one box to send a restricted invite.
  4. Click Send Invite.

When picking specific boxes, use Select all / Clear all at the bottom of the list to speed things up.

Change a member's box access later

  1. In the Team tab, find the teammate under Current Team Members.
  2. Member rows show a badge with their current access — All boxes or a box count (for example, "3 boxes"). Click the badge.
  3. In the Box Access dialog, switch between All boxes and Specific boxes, adjust the checked boxes, and click Save changes.

Things to know

  • "All boxes" is future-proof. A member with all-access automatically sees boxes your team creates later. A restricted member only ever sees the boxes you've explicitly chosen.
  • Promoting removes restrictions. If you change a restricted member's role to admin, they get access to every box.
  • Restrictions are per company. If someone belongs to several companies, their box access is set separately in each.
